Why WhatsApp matters for Australian clients now

Australia is not Brazil or India, where WhatsApp is effectively the phone. Facebook Messenger still leads on daily use here. But the WhatsApp audience is large and growing. Here is the sequence we follow on a new sub-account.

Step 1 — Verify the client's Meta Business account. WhatsApp Business API access requires a verified Meta Business Manager. Have the client submit their ABN, business name and website early, because verification can take days and everything else waits on it.

Step 2 — Choose the number. The number must not already be registered to a personal or WhatsApp Business app account. Most clients use a new virtual number or port a landline. Warn the client that the number is committed to the API once registered.

Step 3 — Enable the WhatsApp add-on in HighLevel and connect. In the sub-account, enable WhatsApp under the integrations settings, complete Meta's embedded signup, and confirm the number shows as connected in Conversations. Step 6 — Add a fallback. Not every contact is on WhatsApp. Use an If/Else branch: if the WhatsApp send fails or the contact has no WhatsApp, send the SMS version. That way the client never loses a message because of channel choice.

An Australian example: a Sydney physio group

A three-clinic physiotherapy group in Sydney's south-west had a no-show problem that SMS reminders had only partly fixed. A large share of their patients were from communities where WhatsApp is the default messaging app, and the practice manager had noticed that patients would reply to a therapist's personal WhatsApp but ignore the clinic's SMS.

Common WhatsApp automation mistakes

No fallback branch. If the workflow only has a WhatsApp action, contacts without WhatsApp get nothing. Always branch to SMS.

Using a number the client already uses on the WhatsApp app. It has to be deregistered first, and the client loses that chat history. Use a fresh number.

Forgetting Australian consent rules. The Spam Act 2003 applies to commercial electronic messages regardless of channel. Identify the business, include an opt-out, and only message people who consented.
